Improving Saydo's AI: Saydo uses what you record, and the changes you make afterwards, to test and train its own AI so it understands you better. We never sell, license or publish your data. Outside the European Economic Area, the United Kingdom and Switzerland this is on by default, and you can switch it off at any time in Settings under Privacy. In those regions it only starts if you tick the box at sign-in or switch it on in Settings. Saydo works exactly the same either way.

Privacy Statement: Saydo maintains transparency regarding data collection practices. We collect user data to provide our AI-powered thought organization service and to improve Saydo's own AI. We do not sell, license or publish your data. You can change how your data is used to improve Saydo at any time.

1. About This Policy

This Privacy Policy describes how Saydo ("we," "us," or "our") collects, uses, processes, and protects your personal information when you use our mobile application and related services (collectively, the "Service").

Saydo is an AI-powered mobile application that helps users organize their thoughts through voice recordings, automatic transcription, and intelligent categorization. Subject to your AI improvement setting, your data may be used to test and train Saydo's own AI. It is never sold, licensed or published.

Key Principle: We maintain principles of user choice and transparent data practices. You have complete control over whether your data contributes to AI model improvement and accuracy. Whether the setting starts on or off depends on where you are, but in every region it is one switch in Settings, it takes effect immediately, and it never affects your ability to use any feature.

2. Information We Collect

2.1 Information You Provide Directly

Account Information: Email address, chosen display name, and authentication credentials
Voice Recordings: Audio recordings of user thoughts (up to 5 minutes per recording) - used for transcription and, subject to your AI improvement setting, to train Saydo's AI
Thought Content: Text transcriptions, categories, and manual edits - used for service provision (including testing and fixing how accurately Saydo understands what you say, see 3.4) and, subject to your AI improvement setting, to train Saydo's AI
Custom Categories: Personal categories created for organizing thoughts - used to personalize user experience and, with permission, improve AI categorization systems
AI Improvement Setting: Your choice about using your data to improve Saydo's AI - stored securely and changeable at any time
Feedback: Bug reports, feature requests, and communications with support team
Payment Information: Billing details processed by payment providers (Apple App Store, Google Play Store, Stripe)

2.2 Information Collected Automatically

Usage Data: App interactions, feature usage, session duration, and timestamps - used to improve the application and, subject to your AI improvement setting, to train Saydo's AI
Device Information: Device model, operating system version, app version, device identifiers
Technical Data: IP address, crash reports, performance metrics, error logs
Analytics Data: Aggregated and anonymized usage patterns to improve service quality

2.3 Information from Third Parties

Authentication Providers: Profile information from Apple Sign-In or Google Sign-In (when users choose these services)
Payment Processors: Transaction confirmations and subscription status from app stores

2.4 Google User Data Restrictions

Compliance with Google API Services User Data Policy:

If you choose to sign in with Google or connect your Google Calendar/Tasks, we want to be transparent about how we use your Google user data:

Authentication Only: Google user data (including profile information from Google Sign-In) is used exclusively for authentication and to provide core application functionality
No AI Improvement: Google user data is NOT used for AI improvement, model training, or any purpose other than providing or improving the application's functionality
No Third-Party Sharing for Research: Google user data is NOT shared with research partners, AI development organizations, or any third parties for AI improvement or model training purposes. Google data may be processed through service providers (such as cloud infrastructure) solely for service delivery, in compliance with Google's API Services User Data Policy.
Service Functionality Only: Google user data is used solely to:
- Google Sign-In: Authenticate your account and enable secure sign-in using your Google credentials
- Google Calendar Integration:
  - Read your calendar events to display them in the Saydo app
  - Create calendar events from your voice-recorded thoughts
  - Update existing calendar events when you edit them through voice commands
  - Delete calendar events when you request deletion via voice
  - Sync calendar changes bidirectionally between Saydo and Google Calendar
  - Handle RSVP responses for calendar invitations
  - Manage recurring event instances (edit single occurrences or entire series)
- Google Tasks Integration:
  - Create tasks in Google Tasks from your voice-recorded thoughts
  - Sync tasks between Saydo and Google Tasks
  - Update task status and details
  - Organize tasks into your existing Google Tasks lists
- User Profile Information: Use your email address and profile name to personalize your experience and identify your account
Independent of AI Improvement Choice: This restriction applies whatever your AI improvement setting is. Even with it on, your Google user data will never be used for that purpose
Data Separation: Google user data is kept separate from other user data that may be used to improve Saydo's AI (subject to your setting)

This policy ensures full compliance with Google's API Services User Data Policy, which requires that Google user data only be used to provide or improve your application's functionality.

3. How We Use Your Information

3.1.1 Google Services Integration

How We Use Google Calendar and Google Tasks:

If you choose to connect your Google account, Saydo integrates with Google Calendar and Google Tasks to provide the following features:

Google Calendar Features:

View Your Calendar: Display your existing Google Calendar events within the Saydo app so you can see all your scheduled activities in one place
Create Events from Voice: When you record a thought like "Meeting with John tomorrow at 3pm", Saydo creates that event directly in your Google Calendar
Edit Events via Voice: Use voice commands to modify existing calendar events, such as "Move my 3pm meeting to 4pm" or "Change the location of tomorrow's meeting to the office"
Delete Events: Remove calendar events by voice command, with options to delete a single occurrence or an entire recurring series
Bidirectional Sync: Keep your Saydo app and Google Calendar synchronized - changes made in either location are reflected in both
RSVP Management: Respond to calendar invitations directly from Saydo
Recurring Event Support: Handle recurring events intelligently - edit single instances or entire series as needed

Google Tasks Features:

Create Tasks from Voice: Convert your voice-recorded thoughts into actionable tasks in Google Tasks, such as "Remind me to call Sarah" or "Add buy groceries to my tasks"
Task Synchronization: Keep your tasks synchronized between Saydo and Google Tasks so you can manage them from either platform
Task Organization: Organize tasks into your existing Google Tasks lists and maintain your preferred task structure
Task Updates: Update task details, status, and completion directly from Saydo

Example Use Cases:

Record "Team standup every Monday at 9am" → Creates a recurring calendar event in Google Calendar
Say "Move my dentist appointment to next week" → Updates the event in Google Calendar
Voice command "Cancel today's lunch meeting" → Deletes the specific occurrence from Google Calendar
Record "Don't forget to submit the report by Friday" → Creates a task in Google Tasks with a due date
View all your Google Calendar events alongside your Saydo thoughts in one unified interface

Important: All Google Calendar and Tasks data is used exclusively to provide these integration features. Google data is never used for AI improvement or model training. Google data may be processed through service providers (such as cloud infrastructure providers) solely for service delivery and in compliance with Google's API Services User Data Policy, but is never shared with research partners or third parties for AI improvement purposes.

3.2 Optional AI Model Enhancement

AI Improvement Participation

Important Restriction: If you signed in with Google, your Google user data (including profile information) is never used for AI improvement or model training, regardless of your participation choice. Only non-Google user data (voice recordings, transcriptions, thought content) may be used for AI improvement while your participation setting is switched on, in compliance with Google's API Services User Data Policy.

What Participation Is Used For: These are the only purposes. If we want your data for something not on this list, we will ask again.

Improving Saydo: Making transcription, parsing and scheduling more accurate
Personalising Your Planning: Learning your vocabulary and planning habits so Saydo can suggest and plan with you, rather than only transcribe you
Training Saydo's Own AI: Fine-tuning and training the models that power Saydo, so they handle real spoken planning better
Never Sold, Licensed or Published: Your data, and datasets made from it, are not sold, licensed, shared with other companies for their own use, or released publicly

De-Identification, Not Anonymisation: Personal details are removed before your data is used to train Saydo's AI. We describe this as de-identified rather than anonymous, because de-identified data can in principle still be linked back and so remains personal data under the GDPR. We do not claim a stronger guarantee than we can deliver.

Participation Process:

Important Notes:

Never Required: Saydo can be used fully with this setting off, and turning it off unlocks nothing and locks nothing
User Control: Toggle participation on/off at any time through Settings, under Privacy
Withdrawal Covers the Past: Turning it off excludes your past recordings from future testing and training as well as your new ones. A model already trained is not retrained immediately; see 8.3 to remove everything
Privacy Protected: Personal details are removed before training use
User Choice Respected: We respect user decisions regarding participation

3.3 Service Operations

Account Management: Create, maintain, and secure user accounts
Customer Support: Respond to inquiries and provide technical assistance
Service Communications: Send important updates about accounts or service changes
Subscription Management: Process payments and manage subscription status

3.4 Improvement and Security

Service Enhancement: Analyze usage patterns to improve features and user experience
Quality Testing: To keep Saydo accurate, we review what was said in recordings and typed captures, the items Saydo created from them, and the changes you made afterwards, and we use examples of these to test and fix how Saydo understands requests. This is part of operating Saydo: it stays within Saydo and is never published, licensed or sold. Training models on your data follows your AI improvement setting (section 4). If you have switched that setting off, or left the sign-in box unticked, your captures are not used for quality testing either.
Security: Detect and prevent fraud, abuse, and security threats
Legal Compliance: Meet legal obligations and protect company rights

4. AI Model Improvement Participation

You're in Control: AI improvement participation is always yours to change. You can use all of Saydo's features regardless of your setting, and turning it off is a single switch that takes effect immediately.

4.1 How the Choice Works

During Signup: In the European Economic Area, the United Kingdom and Switzerland you'll see an unticked checkbox labelled "Help improve Saydo" on the sign-in screen, next to links to this policy and the Terms of Service. Elsewhere there is no checkbox: the setting starts on and is described in this policy
Where It Starts On: Outside the regions listed below, the setting starts on, and you can switch it off at any time in Settings
Where It Starts Off: In the European Economic Area, the United Kingdom and Switzerland the checkbox starts unticked, and participation only begins if you tick it yourself. We do not rely on a pre-ticked box as consent in those regions
Existing Accounts: If you created your account before this setting existed, the same regional default is applied the next time you open the app, and you can change it in Settings straight away
No Pressure: You can proceed with account creation regardless of your choice
Settings Control: Change your mind anytime in the app's Settings, under Privacy, "Help improve Saydo"
Immediate Effect: Your choice takes effect immediately - no waiting periods. Turning it off also excludes everything you recorded previously, not just what comes next

4.2 Voice Recording Process

Recording: Voice recordings are captured locally on your device
Transmission: Audio is encrypted and transmitted securely to our transcription service
AI Training Use: Voice data is only used for AI training if you've opted in
Processing: AI services (OpenAI Whisper and others) convert speech to text
Deletion: Original audio files are deleted from primary servers after processing
Storage: Text transcriptions are stored for your use and, if you've consented, for AI training

4.3 AI Classification and Training

Content Analysis: Text content is analyzed to suggest appropriate categories (always happens for your benefit)
Model Training: Your data is only used to train AI models if you've explicitly opted in
Pattern Recognition: Usage patterns help AI understand human thought organization (only with consent)
Confidence Scoring: AI provides confidence levels for categorization accuracy
Human Override: Your corrections to AI suggestions improve model accuracy (only if you've opted in)

5. Data Sharing and Disclosure

We do not sell, rent, or license your personal information to third parties. We may share your information only in the following limited circumstances:

5.1 Service Providers

Cloud Infrastructure: Supabase (database), OpenAI (transcription), Anthropic (classification)
Analytics: Usage analytics to improve app performance
Payment Processing: Apple/Google for subscription management

5.2 No Sale, Licensing or Publication

Your data stays with Saydo. We do not sell, license or publish your recordings, transcripts or personal data, and we do not share them with other companies for their own use. Data used to improve Saydo's AI is processed only by Saydo and the service providers in 5.1 acting on our behalf.

Google User Data Exclusion: If you signed in with Google, your Google user data (including profile information) is never used to train AI models, in compliance with Google's API Services User Data Policy.

5.3 Business Transfers

Company Acquisition: In the event that Saydo is acquired by, merged with, or transfers assets to another company:

Personal Data: All user accounts, thoughts, and voice recordings will transfer
AI Improvement Data: Data used to improve Saydo's AI transfers with the service and stays subject to your setting
Consent Status: Your AI improvement setting choice will be honored by the acquiring company
Your Rights: You maintain the right to delete your account and switch off AI improvement before or after any acquisition

Setting Verification: AI training data comes only from accounts whose AI improvement setting is on

Security Notice: While we implement industry-standard security measures, no system is 100% secure. We encourage you to use strong passwords and keep your device secure.

Change Anytime: Toggle AI improvement setting on/off in Settings with immediate effect
Withdraw Consent: Stop contributing to AI improvement anytime - easy as opting in
No Penalties: Your app experience remains the same regardless of your choice
Future Data: Your choice applies to all future data - past de-identified data follows separate deletion rules

7.2 General Data Rights

Restriction: Limit how we process your data

Smart Deletion Options:

Standard Deletion (In-App): Removes personal data, keeps de-identified data already used to train Saydo's AI (if your setting was on)
Complete Erasure (Email): Removes everything including all training data - no trace left
AI Improvement Withdrawal: Keep your account but stop contributing to AI improvement (Settings)

Choose the option that best matches your privacy preferences.

7.3 Communication Preferences

Opt-out: Unsubscribe from marketing communications (service communications may still be necessary)
Notification Settings: Control push notifications and email preferences in the app
AI Improvement Updates: Choose whether to receive updates about how your contributions help improve Saydo's AI

8. Data Retention and Account Deletion

Three Flexible Options for Managing Your Data

8.1 AI Improvement Withdrawal (Keep Account)

Stop contributing to AI improvement while keeping your account:

How: Toggle off "Help improve Saydo" in Settings
Effect: Future data won't be used for AI training, account and thoughts remain intact
Your Content: All your thoughts, categories, and app data stay exactly as they are
Past Data: Excluded from future testing and training. A model already trained is not retrained immediately (see Complete Erasure to remove everything)
Reversible: You can opt back into AI improvement anytime

8.2 Standard Account Deletion (In-App)

Available through the app settings menu:

Immediate Personal Data Removal: Your account details, email, and directly identifying information are immediately deleted
AI Improvement Data: If your AI improvement setting was on, de-identified training data may be retained to keep Saydo's AI working
Setting Off: If your AI improvement setting was off, no training data exists to retain
De-Identification Process: Only applies if you had participation switched on - personal identifiers removed
Processing Time: Immediate personal data deletion, de-identification completed within 30 days

8.3 Complete Data Erasure (Email Request)

For complete removal of everything, including all AI improvement contributions:

Total Data Deletion: Complete removal of all personal and de-identified data, including AI training datasets
Includes: Voice recordings, transcriptions, sentiment analysis, session data, usage patterns, classification feedback, and all training data
Request Process: Email support@usesaydo.com with subject line "Complete Data Erasure Request"
Required Information: Confirm your account email address in the request
Processing Time: Maximum 30 days from receipt of verified request
Verification: We will confirm completion via email once erasure is complete

9. Data Breach Notification

10. International Data Transfers

Saydo operates globally, and your data may be processed in countries other than your own:

Safeguards: We ensure adequate protection through standard contractual clauses and other legal mechanisms

10.1 AI Training Data Transfers

AI Improvement Data Protections:

Setting Verification: Only data from accounts whose AI improvement setting is on is used for training, including when processed in another country
De-Identification First: Personal details are removed before any international transfer

12. Children's Privacy

Saydo is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we discover that we have collected information from a child under 13, we will delete it immediately.

Extra Protection for Minors: Children under 13 cannot participate in AI improvement even if they somehow access the app. Our systems are designed to reject any AI improvement setting from accounts that might belong to minors.

13. Regional Privacy Rights

13.1 European Union (GDPR)

If you are in the EU, you have additional rights under the General Data Protection Regulation:

Our mobile app does not use cookies, but our website may use cookies and similar technologies:

You can control cookies through your browser settings. Note that disabling cookies may affect website functionality but won't change the AI improvement setting stored in your account.
